POSITION HIGHLIGHTS/RESPONSIBILITIES: (This list is not all-encompassing)
- Operational Management:
- Oversee daily clinic operations to ensure smooth workflows and a positive patient experience.
- Manage patient scheduling, appointment coordination, and ensure timely patient flow.
- Ensure clinic resources, such as medical equipment and supplies, are adequately stocked and maintained for both the Family Care and Specialty Clinics (FCC/SC).
- Manage maintenance and biomedical work orders and communicate barriers for completion for FCC/SC.
- Serve as backup Vaccine Coordinator. Be the on-call after-hours contact for temperature excursions of monitored storage units.
- Staff Support:
- Support clinic staff, including medical assistants, receptionists, and administrative personnel.
- Coordinate staff schedules to ensure appropriate coverage at all times.
- Provide training and development opportunities for clinic staff to enhance skills and maintain compliance with healthcare regulations.
- Lead department meetings when requested.
- Patient Experience:
- Ensure patient inquiries, complaints, and concerns are handled promptly and professionally.
- Monitor patient wait times and strive to minimize delays.
- Assist in ensuring a clean, comfortable, and welcoming environment for patients.
- Compliance and Regulatory Adherence:
- Ensure clinic operations comply with healthcare regulations, privacy laws (HIPAA), and internal policies.
- Maintain proper documentation for all regulatory audits and inspections.
- Help ensure clinic staff are trained on compliance matters.
- Financial and Administrative Management:
- Serve as primary contact between coding staff and medical assistants for documentation deficiency communication.
- Manage payroll/timekeeping for staff in the Specialty Clinic and its outlying clinics, including tracking time off requests and schedule changes.
- Assist in budgeting and cost management to maintain the clinic’s financial health.
- Review clinic expenditures and help identify areas for cost reduction without compromising quality of care.
- Prepare contract payments to physicians/APPs (Advanced Practice Professionals).
- Reconcile clinic credit card statements, and monthly surgery charges.
- Compile monthly statistics, Press Ganey, productivity reports, and end-of-month reports and submit them per departmental and/or hospital procedures
- Technology and Systems Management:
- Oversee clinic management software, electronic health records (EHR), and other technology tools.
- Ensure data accuracy and security, and troubleshoot any issues related to clinic systems.
- Quality Improvement:
- Assist in implementing quality improvement initiatives to enhance patient care and operational efficiency.
- Track and report on key performance indicators (KPIs) related to clinic operations.
- Collaborate with clinic leadership to identify opportunities for operational improvement.
- This is a confidential and exempt (salaried) position under the laws of the FLSA and reports to the Clinic Manager.
KNOWLEDGE AND EXPERIENCE:
- Education: Preferred bachelor’s degree in business or related field.
- Work Experience
- Required 3 years or more of administrative experience.
- Healthcare, Human Resource, or Project Management experience preferred
- Must have the ability to direct staffing resources, facilitate teamwork, prioritize activities, and respond in emergencies
- Speaking, active listening and skilled writing skills are required to effectively communicate with personnel and providers at all levels
- Experience in project management preferred
- Mathematical/analytical ability required for timecard system, meeting budget and capital preparatory and approval processes, statistical analyses, survey data organization, and other presentational/operational activities as required.
